How to convert a PDF invoice into an e-invoice

Choose your invoice PDF or drop it into the file box. The invoice data is read out of the document and fills in the form. Check the data, correct whatever the recognition got wrong and create the e-invoice.

Your invoice keeps its look

The pages of your PDF are not redrawn. The tool takes your document as it is and adds the invoice data to it as XML, so the result still looks exactly like the invoice you uploaded.

The data is recognised for you

Typing an invoice into a form a second time is tedious, so the tool reads it for you. If your PDF already carries e-invoice XML, that XML is used directly. Otherwise the invoice is recognised automatically and the recognised values are filled into the form.

You decide what is in the invoice

Recognised data can be wrong, and an invoice is a document you are liable for. Nothing is sent out behind your back: every field stays editable and the e-invoice is only created once you press the button.

No installation required

You don't need to download or install any software. The conversion to PDF takes place on our servers in the cloud and therefore will not consume resources from your computer.

What happens with your invoice

Your file is transferred over an encrypted connection and removed from our servers after a short time. If your PDF has to be recognised automatically, it is passed to an AI service for that step, which may process data outside the EU. You are asked before that happens and can stop at that point.

How do I convert a PDF invoice into an e-invoice?

Use the file selection box to select the PDF invoice you want to convert.
Check the invoice data that was read out of your PDF and correct it where necessary.
Create the e-invoice and save the result by using the download button.

Which e-invoice formats can I create?

By default you get a ZUGFeRD invoice following the European standard EN 16931: a PDF that shows your invoice and carries the invoice data as XML at the same time. In the output options you can switch to the ZUGFeRD Extended and XRechnung profiles, or to plain XML in the CII and UBL syntaxes, for example XRechnung or Peppol BIS Billing.

Does my invoice still look the way it did?

Yes. Your uploaded PDF becomes the visible part of the e-invoice, so logo, layout and wording stay untouched. The invoice data is added as an embedded XML file, which is what your recipient's accounting software reads.

How reliable is the automatic recognition?

It saves you the typing, but it is not a guarantee. Invoices differ a lot in how they are laid out, and a value can be read wrongly or not at all. Please go through the form before you create the invoice, in particular invoice number, dates, tax rates and totals.

What happens to my invoice data?

One step is an exception you should know about: if your PDF is not already an e-invoice, reading the data out of it is done by an AI service that may process data outside the EU. The tool asks for your confirmation before it sends anything there, and you can cancel and fill in the form by hand instead.

My PDF is already an e-invoice. What happens then?

If your PDF already contains e-invoice XML, for example because it is a ZUGFeRD or Factur-X invoice, that XML is read directly in your browser and no automatic recognition is needed. You can then correct the invoice or save it in a different e-invoice format.
